From Shipment to Storage: The Cold Chain

What happens to a vial between the manufacturer and your freezer, and how to evaluate a shipment when it arrives.

What Happens Between the Manufacturer and Your Freezer

A lyophilized vial doesn’t go directly from a manufacturer’s freezer to yours — it travels, sometimes for days, through conditions the manufacturer can influence (packaging, cold packs, shipping method) but not fully control (weather, transit delays, how long a package sits on a doorstep). Understanding this stretch of the journey matters because it’s the part most likely to expose a vial to conditions outside its ideal storage range, even briefly.

What to Check When a Shipment Arrives

  • Packaging integrity: was the outer packaging and any insulation intact, or visibly damaged?
  • Cold-pack condition: if included, is it still cold, or fully thawed?
  • Vial condition: is the vial itself intact, with the cap and seal undamaged?
  • Transit time: how long was the package in transit relative to what the shipping method should have taken?

Brief Exposure Isn’t Automatically Catastrophic

A lyophilized vial that arrives at room temperature rather than fully chilled — because a cold pack partially thawed in transit, for instance — isn’t necessarily compromised. Lyophilized powder is considerably more stable than a reconstituted solution precisely because there’s no liquid environment for degradation reactions to proceed in. That said, “more tolerant” isn’t “unlimited” — prolonged heat exposure, direct sunlight, or repeated freeze-thaw-style temperature swings during a long transit delay are a different story, and are worth noting alongside the vial when you log it, as covered in Record-Keeping & Traceability.
